Probationary Faculty Review Schedule
Note, Lecturers and Clinical Assistant Professors go up for promotion in their sixth year. Assistant Professors go up for promotion and tenure in their sixth year. Lecturers, Clinical Assistant Professors, and Assistant Professors may choose to seek promotion (and tenure, if applicable) earlier than the sixth year by informing their Dean at the proper time. In addition, any faculty member may have an earlier promotion date specified in their appointment letter.
Clinical Associate Professors, Associate Professors, and Senior Lecturers may choose the year to seek promotion.
Non-Tenure Track Faculty
Mechanisms for appointment, reappointment, review, and promotion of Lecturers and Clinical appointees will follow the same guidelines and time frames as with tenure-track faculty (as described in the IU Kokomo Academic Review Calendar). Lecturers and Clinical appointees will be evaluated on teaching and service, but will not be evaluated in research.
After a probationary period of no longer than seven years (analogous to the tenure process), a candidate who is successfully promoted to Senior Lecturer or Associate Clinical Professor will be awarded a long-term contract, structured as a rolling three-year contract. A candidate who is successfully promoted to Teaching Professor will be awarded a six-year rolling contract
What follows is the timeline for promotion. Note, for faculty seeking tenure, tenure decisions are made in conjunction with promotion decisions and follow the same timeline. Throughout the rest of this document, "promotion" will be understood to also include "tenure" where appropriate.
Timeline of Activities in the Academic Year Prior to Seeking Promotion
A variety of activities take place before the academic year a faculty member seeks promotion.
April 1: In the Spring semester of the academic year prior to seeking promotion (and typically by April 1st), faculty shall inform their Dean that they are seeking promotion in the academic following year. Example: a faculty member wishing to go up for promotion in the Fall of 2020 would inform her dean prior to April 1st, 2020.
Typically May (tenure-track faculty only): The faculty member and Dean each generate a list of external reviewers.
Typically Late May/Early June (tenure-track faculty only): Faculty member provides Dean with materials for external reviewers. Dean sends materials to external reviewers.
Timeline of Activities in the Academic Year of Seeking Promotion
September 1: Dean should plan to have received all materials from external reviewers
September 15: Faculty submits a complete tenure and/or promotion dossier via the eDossier system. The dossier locks when it is submitted. Once locked, existing content cannot be changed by the faculty member; however, additional material may be added to the supplemental section. Faculty may withdraw their dossier at any point in the process prior to the recommendation by the Chancellor. Withdrawing their dossier will end their consideration for promotion.
Mid-September to Early-to-Mid October: The department/division/school committee makes a tenure and/or promotion recommendation to the next level of review via the eDossier system. The faculty member is informed of the committee's recommendations in writing.
Mid-to-Late October (HSS only): The Chair makes a tenure and/or promotion recommendation to the next level of review via the eDossier system. The faculty member is informed of recommendations in writing.
November 1: The Dean makes a tenure recommendation to the next level of review via the eDossier system. The faculty member is informed of recommendations in writing.
December 7: The All Campus Promotion and Tenure Committee make a promotion and/or tenure recommendation to the next level of review via the eDossier system. The faculty member is informed of recommendations in writing.
Mid-December: The Vice Chancellor makes a promotion and/or tenure recommendation to the Chancellor. The faculty member is informed of recommendations in writing.
January-March: The Chancellor makes a promotion and/or tenure recommendation to the President of the University. University Libraries also require the system dean's review before the final promotion and/or tenure review is referred to the President.
March-April: Faculty member is informed in writing of the President’s decision to move their case forward to the Board of Trustees for approval at BoT June meeting.
