All departments are responsible for having new hires complete the new hire packet. Please ensure all forms are completed and signed. Please send the entire packet to the office of Human Resources at KO 275.
New hire packets and forms for faculty/adjunct, professional/bi-weekly staff, and temporary workers can be found in a secured folder. You will need CAS credentials to access these files.
New Hire Forms and Packets
NOTE: Please send this information to the office of Human Resources no later than five working days prior to a new hire’s first date. Allowing us this time ensures the employee will be able to clock in on his/her first day of employment. We must limit the number of edits we perform to employee’s timesheets (we need to remain compliant with the Federal law and IU policy). When we do not have enough time for the hire to process in the system, he/she cannot log into Kuali time and thus, you have to edit the timecard. Please plan accordingly to ensure all new hires are processed prior to their start date. If this is not possible due to a no call/no show or unexpected resignation, we certainly understand; however, we do need your assistance in having as much notice as possible. All departments must complete a pay advice, including all signatures and financial aid information (if applicable) that accompanies the hire packet before the hire will be processed. Please ensure the pay advice is signed by the Vice Chancellor for Finance and Administration prior to providing to the office of Human Resources.
Form I-9 for the background check may be completed at any time prior to the start of employment, but Section 1 must be completed by the end of the first day of employment. Section 2 must be completed by the end of the third day of employment. If either section is not completed by its deadline, the employee cannot be allowed to work until it is completed. The hiring department is to stop the employee from working if Section 1 of the form is not completed by the end of the employee’s first day of employment or if Section 2 is not completed by the end of the 3rd day of employment.
